Project: The Crown Clinic

The Crown Clinic is a Sydney-based hair restoration clinic, offering the latest hair replacement treatments.

Project brief

The Crown Clinic were getting email enquiries, but had no way of storing these to access the related data quickly and easily. They printed paper records, but these were difficult to search and time-consuming to keep up-to-date. Having one copy of the records meant that only one staff member could look at them at one time. They needed a solution which would ensure that record keeping was organised, easy, and fully accessible. They also required a redesign of their existing site, as it was looking dated.

Solution

Online booking

Clients can now book a consultation directly from the website, simply by filling out their details on a form. Clients can also contact the clinic by sending them an enquiry via a seperate enquiry form. Results of the consultation form and enquiry form are automatically inserted directly into the database

Existing clients

Records can be added by staff so that existing paper records can be entered in and then discarded.

Client records

Up to 6 photographs and individual notes can be added to each customer record to track client progress. Records can be accessed easily via a simple search mechanism.

Follow-ups

Clinic Staff can assign follow-up dates to ensure that clients are contacted within a set period of time.

Site redesign

With the use of white as a base colour, the site looks fresh and modern. A flash animation is added to give the home page interest.

Results

The database has provided The Crown Clinic with an organised solution for their record keeping. Because it has been developed with a web interface rather than a desktop application, it means that they can log into the system from home, or anywhere in the world, without having to download any software. Staff members now have an easy way of assigning client before and after shots and are therefore more likely to retain photos that can be used in promotional advertising or on the website.
